How long does it take to confirm my dedicated virtual assistant?

As a globally-scaled VA agency, we realize that it might take some time to finalize the VA who is most relevant for the role you have in mind. Usually, the finalization process does not take more than 2 - 3 days. We are stating this period since it might take us some time to find a specific skill-set you demand. What is the billing model like - fixed charges or flexible charges?

We have VA billing plans from which you can choose. Each plan designates a fixed number of hours in a month as a minimum. Essentially, we have borrowed the best features of fixed monthly charges and monthly subscription models. You get the leverage of knowing the exact hours invested in your project. Any deficit of hours due to VA absenteeism is compensated for. Feel assured about always knowing the minimum/starting/based charges and the billing for scaling-up, such as creating a 3 or 4-member VA team!

How much time does it to take start the VA work after the payment?

We are a step ahead, ensuring that the project on-boarding starts once the contractual agreement is signed. This ensures that the time it takes for the payment to be processed is better utilized. Our online assistance VA begins drafting the project scope - preparing for the work ahead. Usually, operations begin within 24 hours of signing the contract.

What happens if I am not happy with my VA?

As a top VA agency, we are committed to offer professional virtual assistance that adds value to your business operations. If this is not the case, if you are not happy with the performance of our VA, our Quality Assessment team will intervene, introspect the reasons for your dissatisfaction, and start screening more skilled VAs who can easily substitute. Our VA replacement is seamless and without any additional costing.

What happens if I no longer need the VA and want a refund instead?

You have two options. First, you can use the unutilized hours from our other digital services - designing, programming, content writing, data processing, eCommerce support operations, SEO, or social media marketing. Secondly, you can request a refund once the unused hours have been confirmed and the reason for a sudden stoppage to the work has been established.

How can I change my VA's shift or timings?

We try our best to ensure such aspects of the VA's work are discussed at the onset. However, we realize there can be instances wherein you schedule needs a shift in the VA's timings. We will try to accommodate such requests in all sincerity. The idea is to keep the VA most productive for your interests. You will need to share the request with the sales personnel who sets-up your account with Virtual Assistant India.

Are there any limitations to contacting my VA?

We believe in using digital tools to ensure our clients feel better serviced. This is why we don't limit VA interactions via WhatsApp messages, emails, Skype calls, and even a direct, in-person call. If you are using any project management dashboard, our VA can be added to the user list.

What will happen if I want my VA to work across the weekend?

For starters, this can be done. There are just different ways to make this work. We believe the client-VA relationship is based on mutual understanding. Our clients often have VAs work through the weekends and provide compensatory leaves during the weekdays. We recommend disclosing and sharing such requirements at the time of setting-up the project where we will screen the best possible VA for the role you want to be fulfilled.

What about VAs working on leaves not listed on my calendar?

Yes, there are some truly global holidays. We expect our clients and the VA not to work on Christmas or New Year's Eve. There is equal transparency for leaves that the VA is contracted for, leaves that we provide as the employer. This schedule of leaves, not exhaustive, will be shared with you at the outset. The VA's costing does not include either type of leaves. The VA billing is based upon the number of hours worked for and committed for during a working month.

Does Virtual Assistant India outsource the tasks to freelancers?

We don't do this as a protocol. Our VAs are direct and full-time employees who work for our clients only. Expect absolute data security and privacy of the terms of engagement with any of our VAs.

How do you help with customizing the standard VA plan?

We make it work for you as long as you share the requirements. There is window to further personalize the standard virtual assistant plans we have. The customized plan may/may not mean additional costing. We insist on getting this clarity at the time of signing-up for any of our VA billing plans.

My hired VA has fallen sick - how will you compensate for the loss of working hours?

For such scenarios, we have a two-fold strategy. If the VA's leave is expected to last for many days, for reasons like acute illness or a mishap, we will find the substitute VA to ensure continuity of work. If the leaves are sporadic and spread over the month, the hours lost will be compensated for, and will be adjusted in the billing.

I don't have work right now but want the same VA after 2 months - is this possible?

Yes, you can get the same VA when you have a need. We try our best to overcome VA availability limitations and ensure that returning clients can continue with the VA of their choice.

I want to send a gift to my VA - does your organization allow this?

As a policy, we have nothing against the client sending appreciations or gifts to our VAs. We believe this is the result of our resource meeting/exceeding your expectations. Even acknowledgement of good work, and not just gifts, help uplift the overall morale of the team!

What if my VA leaves, with the training that I provided him - will my work suffer?

Please don't worry about this. Our virtual assistant services come with layers of assurance about data security, skill enhancement, and VA training support. This means we will always have a suitable replacement. If there was time invested in re-training the exiting VA, the training time it takes to update the substitute VA will not be charged for!

Your VAs are skilled but what if I wanted them to run an errand like shop online for me?

Though we don't really encourage this as an ongoing task for our VAs, such work can be done since the VA is expected to be your back-up resource - a business assistant who should be able to help you with the occasional, odd tasks. We do recommend identifying and delegating tasks that match the VA's skill levels and educational background.

Do you allow the VA to use another company's email address?

Yes, you have the liberty to upgrade the chosen online virtual assistant to being an asset for your business setup, and allocate an email address of your choice. We just want such instances to be shared with our client account manager, i.e. the sales person who is handling your invoicing.

How easy it is to upgrade my VA plan?

This is indeed a compliment! Just call or email our sales person handling the billing. The invoice for the current month (for the existing VA plan) and the new invoice for the upgraded plan will be shared promptly, with the clarity you demand.

Do you have any rules for sharing images or sharing passwords to social media accounts?

You have the freedom to choose the data sharing platform. Our virtual assistance service clients choose Dropbox and Google Drive. Others choose to share the data via Skype downloads, email attachments, and sharing server space with their remote virtual assistant. Regarding social media accounts, it is entirely your decision to share the passwords. We recommend prepping the personal business assistant about the type of branding tone or social posts you want on your social channel to ensure there is never a conflict of interest.
